What advice could you give me to learn how to better manage my time?

I am currently doing tenth grade in my school, I am a programming technologist, I study English and sometimes I feel that I do not manage my time well with the rest of the personal things I do in my day to day

Thank you comment icon Hello Danielaap - great question and something I quite often ask myself. I have found it helpful to think of it as there are 168 hours in the week - no more no less. Write a list of the top priorities you must or want to do in any given week and see how much time that deducts from your 168. It all comes down to choices. Then also think about how you are currently spending your time and are the biggest time users also on your top priority list ? If not; make the change. Jim P

Alarms.
I had a problem with the cooks in my kitchen always burning food. They thought they were amazing chefs who would just know when things were done right. So I got tons of timers and set them to the proper times for foods. If they put chicken in the oven, they hit the chicken timer, noodles...the noodle timer, etc.
I do this in my daily life. Not only do I have an alarm to wake up, but I have an alarm that tells me when I must leave the house, I have one that tells me when my daily meeting with my boss is, I don't have to describe more, you get the hint.

Felipe A.’s Answer

Hi, Danielaap.

I've struggled also with Time Management in past, because I am productive procrastinator.

You will find lots of techniques and tools on internet. Here are some of methods I use regularly or occasionally:

1. Create a to-do list of things/projects/priorities that I need to complete and are important for me.
2. Set some time on Google Calendar or a Timer.
3. Every time my phone is visible on my desktop I get distracted easily by checking stuff. Put your phone on a place you can not see it when working or studying.
4. Understand what moment of the day you feel more creative or focused, and plan accordingly. This is also known as Manage your Energy instead of your Time.

Now, that I know work-life balance does not look like having time for all activities, you will need to prioritize some stuff based on your goals, preferences, and recalibrate them when needed.

Have you read about The Four-burners theory (https://jamesclear.com/four-burners-theory)?

Good luck,

Hello Danielaap!
It's great to hear that you are balancing so many important activities! Managing time effectively can be challenging, but with the right strategies, you can create a routine that helps you stay on top of your activities. Here are some tips that might help you:

* Prioritize Your Tasks
- Identify Urgent vs. Important: List all your tasks and categorize them based on urgency and importance. Focus on tasks that are both urgent and important first.
- Set Clear Goals: Define what you need to achieve in each area of your life. For example, set specific goals for your schoolwork, programming projects, and English studies.

* Create a Schedule
-Weekly Planner: Use a weekly planner to allocate specific times for each activity. Make sure to include breaks and personal time to avoid burnout.
-Time Blocking: Dedicate blocks of time to similar tasks. For example, set aside a block of time each day for studying English and another for programming.

* Effective Study Methods
- Pomodoro Technique: This method involves studying for 25 minutes, then taking a 5-minute break. After four “Pomodoros,” take a longer break of 15-30 minutes. This helps maintain focus and reduces fatigue.
- How to Apply Use a timer to keep track of your study and break intervals. Apps like "Pomodone" or "Focus Booster" can be useful.

* Active Recall and Spaced Repetition: Test yourself regularly on the material you are learning and space out your study sessions over time. This improves long-term retention.
- How to Apply: Create flashcards with key concepts and review them periodically. Apps like "Anki" or "Quizlet" can help you manage this method.

- Notion for Organization: Notion is a versatile tool for organizing your study schedule and daily activities. You can create to-do lists, set reminders, and track your progress.
- How to Apply: Set up a Notion page for your different subjects, task and activities. Include a calendar, to-do list, and space for notes. Regularly update your progress and adjust your plans as needed.

* Avoid Procrastination
- Set Clear and Achievable Goals: Break larger tasks into smaller, manageable steps. This makes it easier to start and complete them.
- Develop Discipline: Consistency is key. By performing an activity for 21 days, it can become a habit. This applies to both good and bad habits, so focus on developing positive routines.
- Limit Distractions: Find a quiet place to study and use apps like "Focus@Will" or "Cold Turkey" to block distracting websites during study time.

* Practice Self-Care
- Take Breaks: Make sure to take short breaks during study sessions to rest your mind.
- Stay Healthy: Get enough sleep, eat well, and exercise regularly to keep your energy levels up.

* Review and Adjust
- Reflect Weekly: Review what worked well and what didn’t at the end of each week. Adjust your schedule and strategies accordingly.
- Be Flexible: Life can be unpredictable. Be willing to adapt your plan as needed.

* Building Habits
- Day Rule: It is said that it takes about 21 days to form a habit. By consistently practicing good time management and study habits every day, you can make these practices a natural part of your routine.

Remember, everyone’s ideal schedule looks different, so find what works best for you. With some practice and adjustment, you'll find a routine that helps you manage your time more effectively.

Good luck!

Knowing what strategies work best for you is really important. For instance, I find that Outlook reminders are super useful in keeping me focused on my tasks. I'm also a big fan of jotting down to-do lists. I find that putting pen to paper really helps me remember things better. When my day is winding down, I take a moment to go over my to-do list and get ready for the challenges of the next day.

Design your unique task board for pending tasks and assign a priority level to each one. Kick-off with at least one small, easily achievable and urgent task. Once completed, strike it off from your list. This simple act will instill a sense of achievement and fuel your motivation to tackle more tasks. As this motivation builds, you'll find yourself accomplishing more and more each day.

For larger tasks that demand more time and effort, try dissecting them into smaller, manageable ones. Dedicate some time to strategize. Remember to take breaks, nourish yourself with healthy food to stay fit, and reward your hard work by indulging in an activity you enjoy during your free time.

Learning the significance of managing your time empowers you to take control of your schedule, reduce stress, and achieve a healthy balance between academic responsibilities and personal activities. There is no one-size-fits-all way to improve your time management. You will need to continue working on it. Make notes when your methods worked as well as when they did not work. Try to start focusing on one area such as having a calendar to show all the things you have time allotted for use. With a quick at-a-glance, you can begin to see how much time you use daily or weekly. It will help you rearrange times and commitments.

This is a great question, Daniela! Managing time is a forever process - always check in with what's working for you and where you need help. It's okay to struggle - you're clearly very ambitious and want to make the most of it. That's amazing!

I'm constantly challenged here. But here's what I've learned:
- Remove distractions: I delete social media apps off my phone during the week. If I really want to use them, I'll re-download at night or on weekends. But if I'm not using it - I keep it off my phone entirely.

- Check your priorities: It's easy to build a looong to-do list. In reality, there is usually 1 - 2 things that REALLY need to get done and others that are nice to haves or needed, but not urgent. Use the Eisenhower Matrix (https://images.app.goo.gl/KKou3tmfEfPW1aUg6) after you make your list to figure out what's urgent AND important

- Break down the big tasks: It's easy to write, "Submit essay" as a task. Take it one step further and break down the tasks that are behind that...Finish reading chapter, Build outline, Write first draft, Spell/check & edit, Submit.

- Know how you work best and be relentless in setting yourself up for success: Do you work better with music or silence? Do you like working with other people in the room? Do you feel productive when you're alone or in a cafe? Once you know what helps you get in the zone, do that every time. I benefit from body doubling, so being around people who are also focused on their own tasks. You can use Focus Mate (www.focusmate.com/) to work on tasks in 30 min/1 hr tasks with someone else on mute and on video and then you check in on what you accomplished. Think of it as a buddy system for getting things done.

BONUS - There are tools out there, but none are a silver bullet. Focus Genie (www.thefocusgenie.com/) is developed my a psychiatrist with ADHD, that provides tools for behavioral changes.

You've got this and good luck!

This is a great question, Daniela! To improve your time management skills and effectively balance your schoolwork, programming studies, English lessons, and personal activities, you can consider to:
1. Create a Schedule: Develop a daily or weekly schedule that includes dedicated time slots for each of your commitments, including studying, programming, English lessons, and personal time.
2. Prioritize Tasks: Identify the most important and time-sensitive tasks and prioritize them. Focus on completing high-priority tasks first to ensure you address the most critical aspects of your daily responsibilities.
3. Set Goals: Establish clear goals for each study session or activity. Having specific objectives in mind can help you stay focused and organized.
4. Avoid Multitasking: While it may seem efficient, multitasking can often lead to decreased productivity and quality of work. Focus on one task at a time to improve efficiency and effectiveness.
5. Take Breaks: Incorporate short breaks in between study or work periods to help refresh your mind and prevent burnout. Breaks can improve concentration and overall productivity.
6. Eliminate Distractions: Identify common distractions in your environment and take steps to minimize or eliminate them during your study or work time. This can help you stay focused and on track.
7. Seek Support: Don't hesitate to reach out to teachers, mentors, or family members for guidance or support when needed. They can provide valuable advice to help you manage your time more effectively.
8. Reflect and Adjust: Regularly reflect on your time management strategies and adjust them as needed. Identify what works best for you and make continuous improvements to enhance your productivity. If possible and convenient to you find a mentor /couch which can support you.
